Job Title: Documentation Specialist
Location: North Chicago, IL – Onsite – local candidates only
Period: 09/23/2024 to 09/26/2025 – potential for extension
Hours/Week: 40 hours (Hours over 40 will be paid at Time and a Half)
Rate: $20 – $25/hr
Contract Type: W2 only

 
Scope of Services:

The Documentation Specialist will play a pivotal role in assisting the team with modifying and creating procedures related to the new Warehouse Management System, Manhattan. The role involves meeting with Subject Matter Experts (SMEs) in the Distribution Centers to assess document changes and identify the need for new documents. The specialist will draft documents based on the guidance provided by SMEs and present these drafts to the team for review in an iterative process. Additionally, the specialist will collaborate closely with the change management team to prepare the documents for the approval process and address any concerns raised by the approvers.

Key responsibilities include initiating communications to gather information, actively problem-solving, and ensuring alignment with US Distribution Center employees as well as English-speaking personnel at the Germany facility. With the new system going live in Q3 2025, over 200 documents need to be revised, obsoleted, or completely rewritten. This role is critical for the project and will be conducted under the guidance of an Abbott employee.

 
Role, Responsibilities, and Deliverables:

  • Collaborate with SMEs in the Distribution Centers to assess and identify document changes and new document requirements.
  • Draft, revise, and present procedural documents based on SME guidance in an iterative review process.
  • Work closely with the change management team to prepare documents for the approval process.
  • Address and resolve concerns raised by document approvers.
  • Initiate communication to gather information and solve problems actively.
  • Coordinate with US Distribution Center employees and English-speaking personnel in Germany via Teams and video chat.
  • Ensure all documentation aligns with the new Warehouse Management System, Manhattan, and is ready before the system goes live in Q3 2025.

 
Education & Experience:

  • Bachelor’s Degree preferred.
  • Minimum of 2-3 years of experience in a relevant field.

 
Competencies:

  • Experience with Manhattan Warehouse Management System.
  • Proficient in writing clear, logical, succinct, and accurate documentation with the audience in mind.
  • Strong research skills and a self-starter attitude.
  • Excellent verbal and non-verbal communication skills.
  • Exceptional organizational skills.
