Position Overview

We are seeking an organized and detail-oriented Inventory Management & Project Coordinator to support inventory control and operational coordination across a renewable generation portfolio that includes solar facilities, Battery Energy Storage Systems (BESS), substations, and Balance of Plant (BOP) equipment.

Approximately 90% of this role will focus on inventory management and material control, including inventory accuracy, procurement support, replenishment, warehousing, material issuance, audits, reporting, and process improvement. The remaining 10% will support project coordination for renewable operations, maintenance initiatives, and smaller operational projects.

The Inventory Management & Project Coordinator will serve as a key point of coordination between Renewable Operations, Supply Chain, site personnel, vendors, and other stakeholders to ensure critical materials and spare parts are available, accurately tracked, properly stored, and efficiently distributed across the renewable fleet.

The ideal candidate brings hands-on experience in inventory management, warehouse operations, supply chain, maintenance planning, or utility operations and is comfortable working in a field-oriented environment that requires regular travel to renewable generation sites.

Key Responsibilities

Inventory Control & Accuracy

  • Maintain accurate inventory records for renewable generation spare parts, consumables, tools, and critical equipment.
  • Manage inventory transactions including receipts, issues, transfers, adjustments, and returns.
  • Ensure all inventory movements are properly documented, traceable, and recorded in applicable systems.
  • Monitor stock levels and establish or maintain appropriate reorder points.
  • Help prevent material shortages that could impact renewable generation operations or maintenance activities.
  • Track serialized and high-value components to maintain asset and warranty traceability.
  • Investigate inventory discrepancies and coordinate corrective actions.
  • Maintain strong data accuracy across inventory and material records.

Warehouse & Storeroom Administration

  • Support and oversee warehouse and site storage locations serving renewable generation assets.
  • Ensure inventory is properly organized, labeled, secured, and maintained according to company standards.
  • Conduct routine site visits to validate physical inventory conditions and storage practices.
  • Coordinate material movement and transfers between renewable facilities.
  • Help balance inventory across sites when materials are needed elsewhere in the fleet.
  • Maintain orderly storage practices that support material availability and operational efficiency.
  • Identify opportunities to improve warehouse organization and inventory accessibility.

Procurement & Material Replenishment

  • Partner with Supply Chain and Renewable Operations teams to identify material and inventory requirements.
  • Create and track purchase requisitions and purchase orders as required.
  • Monitor supplier deliveries and communicate material availability to site personnel.
  • Support replenishment planning for critical spare parts and consumables.
  • Coordinate with vendors regarding inventory, replacement components, warranty claims, and material issues.
  • Track outstanding orders and help resolve delivery or availability concerns.
  • Escalate supply risks that could impact maintenance or operations.

Inventory Audits & Compliance

  • Lead and support annual physical inventory counts and cycle counting activities.
  • Compare physical inventory against system records and investigate discrepancies.
  • Maintain supporting documentation for inventory adjustments and audit findings.
  • Help ensure inventory records remain audit-ready.
  • Support adherence to applicable inventory control procedures, renewable operating standards, and company requirements.
  • Track corrective actions related to audit findings or recurring inventory issues.
  • Support continuous improvement of inventory controls and documentation.

Inventory Reporting & Analytics

  • Prepare monthly inventory reports for Renewable Operations leadership.
  • Analyze inventory levels, usage patterns, discrepancies, shortages, and material movements.
  • Identify opportunities to improve inventory efficiency and reduce unnecessary carrying costs.
  • Monitor critical materials and identify potential supply risks.
  • Use data to support inventory optimization and material planning decisions.
  • Develop or maintain trackers and reports that improve visibility across renewable generation sites.
  • Present inventory findings and recommendations to operational stakeholders.

Process Improvement

  • Develop and maintain inventory procedures, work instructions, and best practices.
  • Identify opportunities to standardize inventory processes across renewable sites.
  • Recommend improvements that increase inventory accuracy, material availability, and operational efficiency.
  • Help reduce avoidable downtime caused by missing or incorrectly managed materials.
  • Evaluate recurring inventory issues and recommend corrective or preventive actions.
  • Support implementation of improved warehouse, inventory, and material-control processes.

SAP / ERP & Inventory Systems

  • Use applicable ERP systems to maintain inventory records and support material-management activities.
  • Support inventory transactions, purchase requisitions, purchase orders, and material tracking within ERP systems.
  • Validate system records against physical inventory and supporting documentation.
  • Assist with resolving system or data issues affecting inventory accuracy.
  • Leverage SAP experience where available to support material and inventory processes.

Renewable Operations Support

  • Support inventory and material needs associated with:
    • Solar generation facilities
    • Battery Energy Storage Systems (BESS)
    • Substations
    • Balance of Plant equipment
    • Renewable operations and maintenance activities
  • Coordinate with site personnel to understand upcoming maintenance and material needs.
  • Help ensure critical parts and equipment are available when required.
  • Travel to renewable generation sites to validate inventory, storage, and operational requirements.
  • Support material coordination across geographically dispersed locations.

Project Coordination

  • Support Renewable Operations leadership with smaller projects and operational initiatives.
  • Track project schedules, milestones, action items, and deliverables.
  • Maintain project documentation, records, trackers, and status information.
  • Coordinate meetings and stakeholder communications.
  • Follow up on project actions and open items.
  • Help identify risks or delays requiring escalation.
  • Support project reporting and general coordination activities as assigned.

Day-to-Day Responsibilities

  • Review inventory levels and material requirements across renewable sites.
  • Process inventory receipts, issues, transfers, adjustments, and returns.
  • Monitor reorder points and outstanding material requests.
  • Coordinate deliveries and material availability with suppliers and site teams.
  • Investigate inventory discrepancies and update records.
  • Maintain SAP or other ERP inventory data.

Required Qualifications

  • 2–3 years of experience in inventory management, warehouse operations, supply chain, maintenance planning, renewable operations, or a related field.
  • Strong inventory control and material-management experience.
  • Experience maintaining accurate inventory records and processing inventory transactions.
  • Knowledge of warehouse operations and inventory auditing practices.
  • Experience with ERP systems; SAP experience is strongly preferred.
  • Strong Microsoft Excel and reporting skills.
  • Ability to analyze inventory data and identify discrepancies, trends, and improvement opportunities.
  • Strong organizational and project-tracking skills.
  • Strong attention to detail and commitment to data accuracy.
  • Strong written and verbal communication skills.
  • Ability to work effectively with site personnel, Supply Chain, Operations, vendors, and other stakeholders.

Education

  • Associate degree in Business, Supply Chain Management, Logistics, Operations Management, Engineering Technology, or a related discipline preferred.
  • An equivalent combination of education and relevant professional experience may be considered.

  • Experience supporting power generation, renewable energy, industrial maintenance, or utility operations.
  • Experience with SAP inventory, materials, procurement, or warehouse functionality.
